[Important Information for Employees] Google and Yahoo Requiring Stricter Policies for Mail Sending

Dear Campus Community,
Starting February 1st, major email providers like Google and Yahoo are
implementing policy changes that affect how emails are sent and received.
These changes are designed to combat spoofing and phishing by enforcing
stricter email signing practices. While reducing unwelcome emails is
certainly desirable, these changes could also interrupt the delivery of
some legitimate emails.
*Campus Impact:*
If you are a regular campus email user, there is no impact for you. If,
however, you operate any service that sends emails from an @plattsburgh.edu
address, it’s crucial to ensure compliance with these new policies to avoid
disruption. Our ITS team has done an audit of the major external systems
that may send emails on our behalf and confirmed they are configured
properly. Those systems include Google, Imodules, Slate, Suny, Amazon,
Watermark and Oclc.
*Identify and Report:*
If you are aware of any other external service that sends emails out using
a from address that is "something at plattsburgh.edu", that solution needs to
be reviewed to ensure compliance. Please email helpdesk at plattsburgh.edu
with:
- Service Name
- Vendor Name
- Vendor Contact Information
*Compliance Verification:*
We will assist in verifying the email system’s compliance and work through
any necessary adjustments. Non-compliant systems risk having their emails
rejected before they are delivered.
*Stay Alert to Email Fraud:*
Even with these changes, vigilance against phishing and spoofing is more
important than ever. The first 2 weeks of each semester we always see an
uptick in targeted phishing scams, this semester is no different.
Remember to:
- Check that the *sender's email address matches the display name*.
- Be cautious of emails marked with [External], inspect these carefully.
They were sent from a non @plattsburgh.edu account.
- Emails marked with [Official] in the subject line have come from an
approved off-campus service, these are generally safe.
- *Never reply to suspicious emails.* Instead, mark them as spam in
Gmail and contact the ITS Helpdesk at helpdesk at plattsburgh.edu,
518-564-4433 or submit a ticket on our portal

guidance.
Phishing messages are always changing, so be aware of basic safety
practices when encountering suspicious messages. The goal of the criminal
is to steal data, money, or both.
