[Important Information for Employees] Official email policy reminder

Colleagues:

Because of a recent incident, I need to remind the campus community that
our campus email accounts are an official channel for SUNY Plattsburgh
communication. We assign email addresses to all students, faculty, and
staff while enrolled or employed.

When using email, it is essential that we *always* use campus accounts when
communicating with students about college-related matters, and that
students use this channel when sending emails to staff or faculty. The one
exception would be communicating with prospective students during the
admissions process. Once students pay a deposit and enroll in courses,
college-related information must then shift to official channels and away
from personal/home emails.

Students do occasionally contact us from non-college email accounts, those
emails will have [External] as part of the subject line. In these cases,
employees should always ask for the message to be resent through the
assigned campus email account. At these times, it is important to let the
student know the policy for all future communications.

It's relatively easy to impersonate someone else through email.  Our campus
email accounts are protected by multi-factor authentication, increasing the
likelihood that the student you are exchanging emails with is actually the
student.
